Privacy Policy.
EFFECTIVE 18 OCTOBER 2026 // LAST UPDATED 18 OCTOBER 2026
1. Who we are and what this policy covers
MomentumX Strategy Group LLC ("MXSG," "we," "us") is a travel risk and event risk intelligence firm based in Bismarck, North Dakota. This policy explains how we handle personal information collected through momentumxsg.com, including the inquiry form, the Client Portal and the Intelligence Desk.
The policy does not cover information we receive under a client engagement. That information is governed by the client's agreement with us, including our Master Agreement of Services and any confidentiality terms in it.
The Client Portal is a password-protected intake page for clients we are working with. What a client submits there is collected under that client's agreement with us. This policy describes what the portal collects and which provider receives it (Sections 2 and 5).
2. Information we collect
We collect only what you give us, plus limited technical data that the site records automatically.
| Source | What we collect | Required? |
|---|---|---|
| Inquiry form | Name, work email, organization, the service you need, when you need it, region or country, and a short description of what you need to know | Name, email, service and description required; the rest optional |
| Client Portal (clients only) | Name, email, phone, organization, destinations, cities or regions, travel dates, purpose of travel, group size, risk concerns, medical conditions and allergies the client chooses to share, travel insurance status, service tier and preferences, itinerary details and notes | Name, email and destination required; the rest optional, including all health information |
| Email and calls with us | Whatever you choose to send, including contact details and the content of the conversation | Your choice |
| Automatic data | IP address, browser and device type, pages viewed, referring page, approximate location derived from IP, and cookie identifiers | Collected when you visit |
Please don't send sensitive details through the inquiry form. We ask visitors not to include principal names, itineraries, travel dates, locations or other security-sensitive information in the form or by email. Once we have spoken, we arrange a secure channel for those details.
Outside the Client Portal, we do not ask for, and ask you not to submit, health information through the site. We never ask for government ID numbers or payment card details through the site, including the Client Portal.
3. How we use information
We use personal information to:
- Reply to inquiries and recommend a product or service
- Schedule, confirm and hold introductory calls
- Prepare proposals and statements of work when you ask for one
- Keep the site working, secure and free of spam and abuse
- Understand, in aggregate, which pages and products interest visitors so we can improve the site
- Meet legal, tax and recordkeeping obligations, and protect our rights
We do not use site information to build profiles for advertising. We do not use automated decision-making that has legal or similarly significant effects on you.
4. Cookies and analytics
The site uses two kinds of cookies:
- Necessary cookies. Squarespace, which hosts the site, uses these for security, spam protection and load balancing. The site does not work properly without them.
- Analytics cookies. Squarespace Analytics records aggregate visit data such as page views, referrers, device type and approximate location. We use it to see which pages and products interest visitors.
We do not use advertising or cross-site tracking cookies.
Your choices. You can block or delete cookies in your browser settings. Blocking necessary cookies may stop parts of the site from working. Squarespace lists the cookies it sets on the sites it hosts in its help center.
5. Service providers
We use a small number of providers to run the site. Each receives only the information needed for its task and handles it under its own terms and privacy policy.
| Provider | What it does for us | Information involved |
|---|---|---|
| Squarespace | Hosts the site; stores inquiry form submissions; provides analytics | Form entries, automatic data, cookies |
| Formspree | Receives Client Portal submissions and delivers them to us | Everything entered in the portal form |
| Our business email provider | Receives form notifications, Client Portal submissions and our email correspondence | Anything in your message or submission |
| Google Fonts | Delivers the site's typefaces (Public Sans, IBM Plex Mono) | Your IP address and browser details, sent to Google when fonts load |
| Only if you click a LinkedIn link or the share button; then LinkedIn's own policy applies | Whatever LinkedIn collects when you visit it |
6. How we share information
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
We share personal information only:
- With the service providers in Section 5, to run the site and respond to you
- With a licensed protection provider or other partner, only after you ask us to coordinate that service and agree to the introduction
- When required by law, subpoena or court order, or to protect the rights, property or safety of MXSG, our clients or others
- With a buyer or successor if MXSG's business is sold or reorganized, under terms that keep this policy's protections
7. How long we keep information
We keep personal information only as long as we need it for the purpose it was collected for.
| Information | Retention |
|---|---|
| Inquiries that do not become engagements | 24 months after our last contact, then deleted |
| Analytics data | Kept in aggregate by Squarespace under its analytics retention settings |
| Information that becomes part of a client engagement | Under the engagement agreement and our records schedule |
8. Security
We use reasonable administrative, technical and physical safeguards for the information we hold, including encrypted connections to the site (HTTPS) and access limited to MXSG personnel who need it.
No website, form or email system is completely secure. The inquiry form and ordinary email are not secure channels for security-sensitive details. Please leave out principal names, itineraries, dates and locations until we have arranged a secure channel with you.
If we learn of a breach affecting your personal information, we will notify you and the authorities as the law requires.
9. Your choices and rights
You can, at any time:
- Ask what personal information we hold about you and get a copy
- Ask us to correct it or delete it
- Block or delete analytics cookies through your browser settings

We process your information to respond to your request (steps before a contract), for our legitimate interest in running and securing the site, and with your consent for analytics cookies. You may also object to processing, ask us to restrict it, withdraw consent and complain to your local data protection authority.
